Executive Assistant and School Coordinator

Nishmat Adin - Shalhevet Scottsdale seeks a part-time Executive Administrator and School Coordinator (EASC).  The position is located in Scottsdale, AZ.  The school is opening for the 2021-2022 school year, starting with a small 9th and 10th grade.  The school is based in a hybrid learning model that combines in-person and remote learning with a partner school, Shalhevet High School in Los Angeles, California (this position will not require travel).  The EASC will work under the direction of Shalhevet in consultation with the Shalhevet High School Principal and local lay leadership.


Primary Responsibilities:
❏    Communicates and facilitates across stakeholders and campuses (students, teachers, staff, families, administrators)
    ❏    Serves as a point of contact via phone and email and in person for parents, faculty staff, 

            applicants, lay leaders, and vendors to facilitate streamlined communication
    ❏    Works in close collaboration with faculty, both locally and in California
    ❏    Communication with substitute teachers and technology specialists as needed
    ❏    Communication and coordination for student and school-related community events

❏    Supports and organizes daily operations of the school, including but not limited to:
    ❏    Coordinates roughly monthly school trips, including lodging logistics and travel    

             arrangements
    ❏    Facilitates extracurricular opportunities for students
    ❏    Receive and distribute mail and packages
    ❏    Facilitates school finances, including communications regarding tuition/TADS, 

            communication with Student Tuition Organizations (STOs)
    ❏    Maintains or organizes required school legal paperwork, including immunization records 

            and state-required forms, in coordination with our legal team
    ❏    Planning, purchasing and organizing inventories for various school programs and needs, 

            ie office supplies
❏    Serving as a representative of the school in a way that generates an air of professionalism      

       and positive school culture
❏    Ability to contribute to developing marketing materials, fundraising and/or grant writing is 

       desirable but not a requirement


Qualifications:
    ❏    Bachelor’s degree required
    ❏    Prior experience as a school administrative assistant or executive administrative 

             assistant preferred
    ❏    Exceptional organizational and executive function skills
    ❏    Exceptional written communication and listening skills
    ❏    Ability to work with multiple stakeholders in a warm and empathetic manner
    ❏    Proficiency in Microsoft Office Suite, Google Docs, and Schoology a plus.  Training 

            provided when necessary.
    ❏    Experience working in a middle or high school environment preferred
    ❏    Flexibility and creativity in working in a dynamic environment, in which new ideas and 

            mistakes are embraced
    ❏    Willingness and openness to pitching in where and when needed
    ❏    Desire to contribute to the growth and development of a school of excellence
